How to enable the sending of emails from your Social Sync account.

Setting up email sending via your own domain is an essential part of Social Sync's email integration.


Sending emails via your own domain, especially through a CNAME setup, offers several important benefits that directly impact sender reputation, deliverability, and overall email marketing effectiveness.

Social Sync will provide you with several CNAME records that you simply need to paste into your DNS provider's dashboard.


DNS and CNAME


DNS (Domain Name System) is like the internet's phonebook, translating domain names into IP addresses. DNS records contain information about a domain's configuration and are essential for various internet services, including email.

If your organisation sends emails from a business domain (e.g. worldchangers.org), your organisation will already have a DNS console. If you don't know how to access your organisation's DNS console, speak to your IT team or website manager.

When linking your organisation's email domain to Social Sync, Social Sync will provide three CNAME records that you need to copy/paste to your DNS provider's control panel.

Access your DNS management console and add a new CNAME record – you'll need to add three in total. All DNS providers are different but you should look for the option to add a new DNS record and select CNAME as the record type.

Important Note: You may need support from your IT team or website manager to add the CNAMEs to your DNS provider's control panel.

Once the CNAMEs provided by Social Sync are added to your organisation's DNS, you're granting Social Sync permission to send emails using your organisation's domain.


DMARC


If your organisation sends 5,000 or more emails a day, your email domain must have a DMARC (Domain-based Message Authentication Reporting and Conformance) policy in your DNS. Emails must pass DMARC Alignment or they will not be delivered.

If you're uncertain if your domain has a valid DMARC record, please contact our support team and we can help you check your current status and provide advice on any required actions.


Linking your email domains


To create a new email integration:

  1. Manage Integration – Click "Manage Integration" in the Email Domains section.

  2. Connect New Domain – On the page that appears click "Connect New Domain".

  3. From name and email address – In the pop up enter the name you want to appear in the "From" field in your emails and the email address you'd like the emails to be sent from. Both can be changed later if necessary. Click "Save" when done.

  4. Copy CNAME records – The page will display the CNAME records you'll need to copy/paste to your DNS provider's control panel. You may need to send the CNAME records to your IT team or website manager to complete this step.

  5. Await authentication – DNS changes can take anywhere up to 48 hours to fully propagate. While awaiting authentication, the integration status will display as "Pending". Once authenticated, the status will display as "Complete".
