Engaging with your supporters in a meaningful way is at the heart of every successful nonprofit campaign. With Social Sync’s Email Templates, you can create, manage, and reuse beautifully branded emails with ease. This feature helps you save time while ensuring a professional and consistent look across all your communications. Whether you’re reaching out for donations, updating supporters on an event, or simply keeping in touch, email templates let you send polished, high-performing messages with minimal effort.
This guide walks you through how to create, manage, and use email templates within Social Sync, so you can focus more on building strong connections with your supporters.
Creating a New Email Template
To create and save a new email template:
Go to the Library – From your menu, navigate to the Library.
Click on Emails – Select the Emails section within the Library.
Create a New Template – Click ‘Create Template’.
Draft Your Email – Design your email by adding text, images, buttons, and dynamic placeholders for fields like first name or donation amount to make each email feel personal.
Save Your Template – Once you’re happy with your email, save it to your email library so it’s ready to use whenever you need it. After a minute or so we'll generate a screenshot of the new template which will make identifying it easier in the future.
Using an Email Template in your Campaign Journey
To use a saved email template within a campaign:
Select Your Campaign – Open the campaign where you want to add the email.
Go to Pathway Builder – Navigate to Pathway Builder by clicking Edit in the top right hand corner of your screen, then selecting Journey.
Add a New Journey Point – In your pathway, add a new journey point where you want to include an email.
Choose Email – Click on the email icon to reveal a dropdown menu.
Select an Email Template – Choose ‘Select Template’ to pick from your library of templates.
Edit as Needed – Once selected, you can make any necessary edits to customise the email for your specific campaign.
Save to Your Pathway – Finalise your edits and save the email to your pathway.
Note: Saving your final email will not impact the original template.
Saving an Email from Pathway Builder as a Template
If you’ve organically created or edited an email within Pathway Builder and want to save it as a template for future use
Select your email - Click on the email you would like to save
Click on the Three Dots – In the top-right corner of the email editor, click on the three-dot menu.
Select ‘Save as Template’ – Choose this option to add the updated version to your email library. Give the template a descriptive title and the system will once again generate a screenshot of the template, making it easy to locate in the Library and on the email template picker screen.
Best Practices for Creating Effective Email Templates
To make the most out of your email templates, keep these best practices in mind:
Stay on brand – Maintain a consistent look and feel by using your organisation’s colours, fonts, and logos. This builds recognition and trust with your supporters. For example, if your charity has a signature colour scheme, apply it to buttons and headings to reinforce brand identity.
Make it personal – Use dynamic placeholders to personalise emails with supporters’ names, donation amounts, or previous engagement history. A subject line like "[First Name], thank you for your support!" can create a stronger connection compared to a generic greeting.
Keep it visually engaging – Use high-quality images, clear call-to-action buttons, and an easy-to-read layout. A well-placed button like "Donate Now" in a bold colour will stand out more than a simple text link.
Keep it concise – Ensure your message is clear and to the point. Supporters often skim emails, so use short paragraphs, bullet points, and bold text to highlight key information. If you're sending an event update, lead with the date and location in the first few lines.
Test and improve – Track engagement metrics like open rates and click-through rates to identify which templates perform best. Experiment with A/B testing by trying different subject lines, button placements, or images to see what resonates most with your audience.
Make it mobile-friendly – Many supporters will read emails on their phones, so ensure your templates are responsive. Keep text large enough to read easily and buttons big enough to tap without zooming in.
